Executive Assistant

While this position involves typical executive assistant responsibilities, it goes beyond those tasks alone as an opportunity to work closely with the C-level suite of a fast-growth, entrepreneurial organization to help strategically manage to-do lists and priorities in a way that best serves the organization and its ambitious goals.


CEO/President Administration

  • Lead responsibility for management of the CEO’s & President’s calendars including scheduling meetings and planning frequent travel. This includes researching and thinking strategically about how to prioritize limited time and who to reach out to for meetings in any given city where they travel
  • Working with the executives to prioritize their daily schedules and keep track of the status of a high volume of open items
  • Lead responsibility for maintaining up-to-date records for all relationships – in contacts and on Salesforce. Assist in maintaining notes as needed on meetings and next steps
  • Fielding telephone calls, emails, and inquiries and determining daily which can be handled directly, which should be referred elsewhere, and which must be addressed by the C-Suite
  • Identifying, preparing, and compiling necessary materials to ensure that the C-Suite has appropriate information for meetings, reports, presentations, events, and special projects. Proficiency in Microsoft PowerPoint, Word, and Excel is a must
  • Providing meeting support including agenda planning, logistics organization and materials preparation
  • Serve as lead for Board meeting preparation and logistics as well as other key C-Suite meetings
  • Anticipating ways to help advance items on the C-Suite agenda and then working to do so

Office Management and Administration

  • Oversee credit card report process; managing the receipt collection, expense tracking, and reimbursement process
  • Manage office needs to ensure that meetings and calls are running smoothly, guests are greeted, routine office issues are handled daily


Professional Qualifications and Experience

  • Bachelor’s degree and minimum of eight to ten years of work as an executive assistant or similar role working in fast-paced and high-volume work environments
  • Flexible and resourceful; able to adapt to changing needs and demands and to work with Team members with a variety of roles and personalities
  • Excellent written and oral communication skills, high degree of comfort speaking about the One Love mission
  • Outstanding organizational skills and very strong attention to detail
  • Ability to think laterally and anticipate challenges that may arise; comfort managing a very full to-do list always
  • High level of proficiency in Microsoft Word, Excel, PowerPoint, and Outlook, and deep understanding and familiarity with social media and technology; including ease in creating and amending presentations
  • Experience with Salesforce is strongly preferred

About One Love

One Love was founded in honor of Yeardley Love, a 22-year-old college student who was killed by her ex-boyfriend. After her death, the family started the One Love Foundation to educate young people about the difference between healthy and unhealthy relationships.
